Overview
To manage messages in the Project Management Hub, you can use the secure messaging tool included in WINDEV, WEBDEV and WINDEV Mobile.
A "Messages" tab allows you to manage the different messages.
'Messages' tab
This tab includes:
  • the list of messages
    • received and pending.
    • received with acknowledgement of receipt.
    • sent and pending.
    • sent with acknowledgement of receipt.
    • sought.
  • to write and send a message.
  • to filter the messages, to find them, to transfer them, to print them, ...
You also have the ability to manage personal folders to store the messages.
Reading and processing the messages

Reading the messages

The messages are displayed in a table. This table displays:
  • The sender.
  • The reception date.
  • The reception time.
  • The number of attachments.
  • The first message line.
The following elements are displayed when clicking the message:
  • The list of message recipients.
  • The message content.
To view the different message categories, click the different standard folders (Received and pending, etc.).

Processing the messages

The different operations that can be performed on a message are proposed in the ribbon of "Messages" tab found in the Project Monitoring Center.
It is possible to:
  • AR the message: the message has been read and processed. It moves into the list of incoming messages with AR.
  • reply to the message. There are several options:
    • Reply to sender: A new message is created, taking over the existing message.. Only the sender will be the recipient of the new message. You have the ability to add new recipients.
    • Reply all: A new message is created using the existing message. The sender and all the other recipients will be the recipients of the new message. You have the ability to add new recipients.

Using custom folders

A message can be transferred into a custom folder. These folders appear on the left of the messaging.
To manage files: You can:
  • Create a new folder via "New folder" in the ribbon or via "New folder" in the context menu of custom folders.
  • Delete a folder via "Delete the folder" in the context menu of custom folders.
To transfer a message into a folder:
  1. Select the message in the table.
  2. Forward the message:
  3. In the "Messages" tab of Project Management Hub, in the "Folders" group, click "To folder".
  4. Select the desired folder in the list that is displayed and specify whether the transferred message must be considered as processed ("Acknowledge receipt" option).

Finding a message

Recipients

To type the message recipients:
  1. Double-click the name of one or more recipients found in the list on the left. The recipients found in this list correspond to the contributors defined in the Project Management Hub.
    • All: is used to list all contributors. To send a message to all the contributors, you must:
      • Select "All".
      • Click the "Add" button.
    • Standard: is used to group the contributors by department. To send a message to all contributors belonging to a department, you must :

      • Click the "Add" button.
  2. The selected recipients appear in the "Recipients" area.
Remarks:
  • When clicking "Photos", the list of contributors appears in list format with photos. These photos have been defined in the contributor characteristics specified in the Project Management Hub.

Images and attachments

A message can include one or multiple images. The image can correspond to:
  • an image coming from the clipboard .
  • an image captured when writing the message .
  • a file from the current computer .
  • a white board to fill .
  • a scanned document .
When the image (or file) is added to the message, it appears as a thumbnail on the left of the message being edited.
Regardless of the type of image you add, you can edit it by clicking its thumbnail. To remove an image, click the close button (X) on the image thumbnail.

Typing the message

The message can be typed in the middle section of the window. A toolbar is used to format the message.
Tip: Writing a path (HTML file or page) automatically creates a link in the message if this path is accessible from the computer. The contributor who receives the message will be able to click this link to open the directory or the page.

Save as incident

The "Save as incident" option saves the message as an incident in the Project Management Hub.
In this case, some options must be filled:
  • Contributor to whom the incident is assigned. This contributor must be found in the list of recipients.
  • Set of incidents: The different sets of incidents have been defined in the Project Management Hub.
  • Incident Type: The type of incident can be Incident, Suggestion or other.
  • Project: Name of project corresponding to the incident. The different projects have been defined in the Project Management Hub.
  • Blocker incident: Used to give priority to the incident.
  • Tags associated with the incident.
  • Requirement: the incident can be associated (or not) with a requirement. You can:
    • Link the incident to the current task.
    • Link the incident to another task. In this case, the "..." button is used to find the requested requirement.
    • Don't associate the incident with a requirement.
  • Sprint: the incident can be associated with a sprint. You can:
    • Link the incident to a sprint.
    • Link the incident to no sprint.
    Remark: You cannot link an incident both to a sprint and a requirement.
The "Reproduction information wizard" link allows you to include a WINDEV, WEBDEV or WINDEV Mobile project and an element to reproduce the incident, if necessary.

Save as requirement

The "Save as requirement" option saves the message as a requirement in the Project Management Hub. In this case, some options must be filled:
  • Requirement title.
  • List of requirements. Use the "..." button to search for the desired list of requirements.
  • Requirement manager.
To add a task to the requirement, simply click "+". A task template is then displayed and can be completed by specifying various details:
  • Task title: this title summarizes the task to perform. This title will be displayed in the schedule and in the task list.
  • Project: Name of project associated with the task. You can select an existing project or create a new one.
  • Contributor: Contributor associated with the task.
  • Estimated duration: Estimated task duration. A duration set to null is used to create a task with an undefined duration.
  • Deadline: Estimated task completion date.

Sending the message

To send the message, simply click "Send" (or press F11). The message is immediately sent to the recipients.
Remark: The "Schedule" option is used to send the message at a given date and time.
Schedule message
The message will be displayed at the specified date and time. This option is useful:
  • to avoid disrupting the recipients. By default, when you check the "Schedule" option, the message is sent the same day, one hour later.
  • to perform a reminder at a specific date and time.
